The Challenge – Improving the Existing Experience
The project scope was limited to the Reservations section, with the primary goal of making it easier to identify available rooms and create reservations for walk-in guests.
From an information architecture perspective, I would recommend placing room availability within the dedicated Rooms section, where users would naturally expect to find it. However, I decided to work within the defined scope and explore how the Reservations section could support both tasks effectively.
I started by analysing the existing interface, identifying usability issues such as unclear room statuses, information overload, limited availability details and insufficient validation during the booking process.
Goal: Room Availability – Making Information Easier to Access
One of the main improvements was introducing a clearer overview of room availability.
I designed a dedicated availability view that allows reception staff to quickly check which rooms are available, occupied or unavailable, while providing more context about upcoming reservations.
The goal was to reduce the need for manual verification and help staff respond faster to guests arriving without a reservation.

Booking Flow – Preventing Errors Before They Happen
The reservation form was redesigned to create a more structured and intuitive booking experience.
I introduced date and time selectors, guest-based room filtering and availability validation to prevent overlapping bookings or assigning unsuitable rooms.
The interface also includes clearer room selection, pricing and payment details, with a persistent booking summary that updates throughout the process.
By focusing on system logic alongside visual design, I aimed to make the booking process both faster and less prone to human error.
Reservation List – Improving Daily Operations
The reservation list was redesigned to improve readability and help reception staff find relevant information faster.
I introduced clearer status indicators, structured booking details and better visual hierarchy. Reservations are organised to prioritise upcoming stays, while completed bookings are separated from active ones.
Payment information is also more visible, allowing staff to quickly understand the status of each reservation without opening individual records.
The redesigned interface was developed into an interactive, responsive prototype using Claude, with ChatGPT supporting UX analysis and Figma used during the design process.
The prototype demonstrates the reservation workflow, including room availability, booking validation, room selection and reservation management.
